Kate & Lou Casting Ltd is a casting company registered in England and Wales. Our website is kateandloucasting.com. For the purposes of UK data protection law, Kate & Lou Casting Ltd is the controller of the personal information covered by this notice unless we explain otherwise.

Casting means people trust us with photographs, videos and information about themselves and sometimes their children. We use that information for genuine business purposes and take its security seriously.

What information we collect

Depending on how you interact with us, we may collect information including:

your name, contact details, location and agent or representative details;

age or date of birth where relevant, CV, credits, skills, languages, accents and availability;

headshots, photographs, showreels, voice recordings, self-tapes and audition footage;

appearance, measurements and other characteristics relevant to a genuine casting brief;

information provided by your agent, parent or guardian, or another person acting for you;

accessibility, health or support information where you choose or need to provide it;

payment, contractual and invoicing information where you are booked for work; and

technical information generated when you use our website, where applicable.

Special-category information

Some casting briefs may genuinely require information that UK data protection law treats as particularly sensitive, known as special-category data. This can include information revealing racial or ethnic origin, religious or philosophical beliefs, health information or information concerning sexual orientation.

We only ask for or use this type of information where there is a genuine reason to do so and where we have both an appropriate lawful basis and an additional legal condition for processing it. Where we rely on explicit consent for a particular use, we will make that clear.

Children’s information

We cast children as well as adults. Where a child is involved, we may collect information about the child and their parent, guardian, chaperone or agent. We take particular care with children’s photographs, videos, contact details and other information, and our Child Protection & Safeguarding Policy applies alongside this notice.

How we get your information

We may receive information directly from you, from a parent or guardian, from your agent or representative, through a casting application or self-tape, from professional casting platforms, or from another legitimate source connected with a casting.

If we obtain your information from another source rather than directly from you, we will provide the privacy information required by law within the applicable timeframe, unless an exception applies.

Why we use your information

to consider you for casting opportunities and assess suitability for a role;

to contact you, your agent or parent/guardian about castings, auditions, recalls and bookings;

to create casting selections and present relevant material to clients and other legitimate casting decision-makers;

to organise and administer castings, bookings and related business arrangements;

to maintain appropriate casting records and our professional network or database;

to make reasonable adjustments and support safe, inclusive participation;

to meet legal, accounting, safeguarding and contractual obligations; and

to operate, secure and improve our website and business systems.

Our lawful bases

UK data protection law requires us to have a lawful basis for using personal information. Depending on what we are doing, we may rely on consent, steps necessary before entering into or performing a contract, compliance with a legal obligation, vital interests, or our legitimate interests in operating a professional casting business and finding suitable people for genuine casting opportunities.

Where we rely on legitimate interests, we consider whether our interests are proportionate and whether your rights and freedoms override them. Special-category information requires an additional legal condition as explained above.

Who we share information with

Where necessary for a casting, we may share relevant information with clients, advertising agencies, directors, producers, production companies and other people involved in legitimate casting and production decisions. We may also use trusted service providers that help us operate our business and systems.

We do not treat receiving your information for a casting as permission to share it for unrelated purposes.

Casting material has a purpose.
A self-tape sent for a role is there to help make a casting decision. It isn’t a free pass for unrelated use.

AI, training data & digital use

We do not regard a performer’s submission of photographs, voice recordings, self-tapes or audition footage for casting as consent for that material to be used to train AI systems, create machine-learning datasets, generate digital replicas or produce synthetic content.

If a production proposes a separate AI or digital-media use, this should be clearly identified and dealt with separately, including any information, lawful basis, contractual permissions and consent required for that particular use.

International sharing

Some clients, productions or service providers may be outside the UK. If personal information is transferred internationally, we will take the steps required by UK data protection law, which may include relying on an adequacy arrangement or putting appropriate safeguards in place.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which we collected it, including legitimate casting, business, legal, safeguarding, accounting or contractual requirements. Different types of information may therefore have different retention periods.

We periodically review the information we hold and delete or anonymise material that we no longer have a proper reason to retain. If you ask us to delete information, we will consider the request in accordance with your legal rights and any reason we are required or permitted to keep particular records.
